What we collect, and what we do with it.

What we collect
- Account & contact details you submit when you sign up or contact sales: name, company, email, and phone.
- Audit material: call recordings you upload, or recordings and transcripts generated when ProofDial calls the agent endpoint you nominate.
- A session cookie for signing in to your workspace. We run no analytics trackers and no advertising pixels on this site.
How we use it
- Account & contact details: to operate your workspace, reply to your request, and run the audits you launch. Nothing else.
- Audit material: to produce your report and, as aggregate scores only, to compute the industry medians described below, unless you opt out.
- We do not sell data. We do not share it for marketing.
Anonymised benchmarks
Publishing an audit adds one aggregate row to a shared pool, which is how your report can tell you whether twelve findings a month is normal for your industry.
What the row contains: an industry bucket, how many calls were analysed, the completion rate, findings per hundred calls by type, and the risk score. What it never contains: a transcript, audio, a caller, your organisation name, or any finding produced by a check you configured yourself.
The row is linked internally to the run it came from. That link is what lets us delete it on request, but nothing identifying you is included in, or derivable from, a published median, and medians appear only once the pool is large enough that no figure traces to one customer.
Opting out: the owner of an account can leave the pool at any time in Settings. Every row we hold for you is deleted at that moment, not at your next audit. Your own reports keep every number they always had; they simply stop showing the comparison.
PII redaction
Phone numbers, emails, card and account numbers are stripped from every transcript before it is stored, judged, or included in a report.
Subprocessors
Producing a report involves third-party AI services acting on our instructions:
- Speech-to-text and speech synthesis providers.
- Large-language-model providers that evaluate transcripts.
- Recordings and transcripts go to them only as needed for your audit, under their commercial terms.
Access & retention
- Reports and recordings sit behind unguessable share links and are public only if you ask us to publish them.
- Audit material is kept for the duration of the engagement (and monitoring, if you subscribe) so results stay reproducible.
- Email hello@proofdial.audio to have your data deleted: leads, recordings, transcripts, reports.
Security
- Operator access is authenticated and rate-limited.
- Report links use cryptographically random tokens.
- Audit media is served only to authorised viewers.
